How to reply well to reviews

  • Fast and personal. Reply within a few days and pick up what the guest actually wrote.
  • Thank, do not justify. A short “we are sorry” works better than a long explanation of why it happened.
  • No discounts in public. Make amends in private. A public offer invites more complaints.
  • No staff names and no admission of fault on topics like hygiene or allergies. Invite the guest to talk instead.
  • Answer positive reviews too. Other guests read along and see that you listen.

Frequently asked questions

Can I get a negative review removed?

Only if it breaks Google’s policies, for example insults, spam or a person who was never at your café. You report it in your Business Profile. Google explains how under Report inappropriate reviews.

What if someone asks for money to remove reviews?

Do not reply and do not pay. Take screenshots and report the reviews to Google. When the tool spots such a demand, it writes no reply and shows this advice instead.

May I give guests something for a review?

No. Google forbids rewards for reviews, and bought reviews can also cause trouble under German competition law. Just ask kindly, for example with the QR sign.

What does “Template, no AI” mean?

Our free AI allowance is limited. When it is used up or the service is down, you get a template to adjust yourself. The label above the suggestion says so.

Is my input stored?

No. The text goes to our server and from there to an AI service (Groq, or Cloudflare Workers AI as a fallback) to write the replies and is not stored afterwards. We do not send the guest’s name to the AI.
